There are a few articles in circulation today regarding how and why you use twitter. My thoughts are this, use twitter for whatever you want, it is what you make of it. Twitter is hangout, it’s a networking event, it’s a party, it’s a marketing pitch. It is filled with hundreds upon thousands of attendees. There is gossip, there is chatter, ideas are being hashed out, companies being formed, products being pitched and friends being made. You don’t have to, nor could you hope to every be involved in every conversation that is going on at this huge event. Someone’s voice is annoying you, walk away. A conversation doesn’t interest you, move on. You are not being forced to clear your inbox of emails touting photos of “My sister’s hot friend”, you are simply interacting with those whom you choose to interact with.

So whether you have 1000′s of followers who have chosen to stick around even though they know the majority of tweets are links to your product, or you have just a few and your conversations are about what you are doing tomorrow, it makes no difference. The point is Twitter is an app made just for you, use it as you see fit.

While in the military I often heard the phrase work smarter not harder. A sound piece of advice, something you might want to carry on to your life as an entrepreneur I imagine. Unfortunately for me this little piece of advice seemed to slip to unvisited depths of my brain as I entered into self employment several months ago. I managed to get so caught up in the growing business that I lost track of the easiest way to start accomplishing more and increasing profits. My workflow is bloated, my whole work day is bloated. Instead of easily downloading financial transactions on a daily basis I choose to let them pile up for a fews weeks and then tackle the accounting. Instead of creating snippets of code that I use on an almost daily basis, I choose to hand code them, every time!

Chunk it

Think about it. I let my financial transactions pile up for two weeks. Let’s say that on average I have two a day, after two weeks that is approximately twenty transactions give or take depending on if you count weekends. Twenty transactions all pile up and ready to be entered. You sit down to enter them and find yourself wasting time in two ways. One, if you are like me and account really isn’t your idea of a good time, you will probably find yourself procrastinating a bit at this point. At this point you will probably drift over to see what your friends are up to on twitter and before you no it you have put of the task for another hour. Second thing, with a pile like this staring in the face there is a good chance that a few things have gotten buried. Now you find yourself having to sift through pile, causing each transaction entry to take a bit longer than usual. It’s a no win situation. You have let an ant build a colony when you could have just handled the ant.

How do you tackle the beast before it multiplies. Simple, set aside a good 10 to 15 minutes at the end of each day for simple data entry. Break the process into smaller more manageable and less daunting chunks of time. You will probably ending up saving yourself an hour minimum over the course of two weeks. (Guess more like 2 to 3 hours)

Automate

Think about how you can cut down the time it takes to do regular tasks and then find a way to automate all or parts of them. This can go for the simplest of tasks, for me deciding to save a tiny code snippet that I use on a regular basis just might do the trick. If you start to add up all of these little tasks that are not automated, you will start to see a drastic improvement in production. Don’t cut corners, make it your own, but automate.

Reduce Waste

I can’t even begin to estimate how much waste I might have have on a typical day. Switching back and forth between browser windows, trailing off on a link totally unrelated to the search at hand, social networking. I know find myself doing simple things like opening a simple text file and pasting links to it for later reading. Keeps me focused on the task at hand, but lets me know that there is something of interest here that I should revisit later.

Social networking on the other hand is a touchy subject. It is in fact an integral part of my marketing plan and business model, but there is a point at which it becomes to much of a distraction. There has to be a way to cut down some of the waste involved in this arena. Find what works for you and begin reducing, turn your social networking time into smaller yet more meaningful bits. But beware, one thing I advise against is automating this process. It removes the personal touch that social networking is and people start to recognize this after awhile. It’s your avatar, but someone else is doing tweeting for you? Lame. That kind of trickery is reserved for myspace, where the most important thing in the world is the size of your friends list. Reduce but make it meaningful, that’s the key. Here’s a great ten part series on Social Media, I recommend you read it.

There is nothing wrong with finding little shortcuts in your daily workflow as long as the quality of the final product does not suffer. If you find a way to do something smarter, then buck the worn out habit and bring the new. Streamline your operation, and after you find yourself doing so for three weeks straight, go ahead and give yourself 4 hours of on that third Friday. It’s a reward for the new, more productive you!

It is no doubt apparent that I am an advocate of viral thinking. Harnessing your minds ability to wander, dreaming up new and exciting ideas that can be worked into your business plan. I believe it plays a integral role in the innovation and design that we are able to experience on a daily basis in our world today. However viral thinking alone can often times become counter productive in your day to day activities, it is the ability to conduct organized viral thinking that will lead you to greater success. Organized viral thinking is the ability to remain open to new and exciting ideas while remaining focused on the task at hand.

I lay the following methods out in front of you to be used as a foundation for becoming a more organized, productive and successful viral thinker. Achieving this balance in your day to day activity will depend greatly on your own personality and ability to organize. I highly suggest taking from this list the basic concepts and tailoring the plan to fit your needs.

First off I like to begin my morning by learning something new, visiting a blog I might frequent to see if anything new had been posted overnight or researching a new concept that had popped into my head the day before. I find that this gets my mind working and allows me to dive into the days tasks with an invigorated focus. After my morning coffee I am now ready to get started on the list.

If you do not already keep a to do list then I suggest you start. Having everything right there in front of you is the first step in really focusing on the day, plus being able to physically cross off tasks as they are completed gives you a great sense of relief. I personally organize my list by assigning priority to each item, then I take it a step further by flagging the items that i really do not look forward to but are absolutely necessary. These are the items that i start my day with. For some it might be paying the bills and for others it might be making a cold call. Whatever the case get it done and out of the way first. When you can take a look at your list and see all of the “red flags” checked off for the day you will know that the worst is over and the rest is a breeze because you actually don’t mind doing most of these things. Now you can start back at the top priority items and work your way down to the “well it’s not that big of deal if I don’t get to it until tomorrow” items. While you are working through the list you should be starting to realize bits and pieces of tomorrow’s list, make note of them now while they are fresh. Ok so you did it the list is out of the way! That is only the first step in becoming an organized Viral Thinker.

Surfing the Internet – The internet plays an important role in many of the jobs of today, it can also be the single greatest time waster. I spend countless hours doing research pertaining to a certain task. For instance I have recently been working on a very customized WordPress Theme. The “client” has a very unique but focused vision on what he wants but has also given me the freedom to experiment within the realm of this vision. Therefore I often times have had three coding and design programs open in addition to several open search tabs in my internet browser. I am back and forth searching plugins, widgets and tutorials. Here’s were it gets difficult. Let’s say I am searching for a particular tutorial and the best source happens to land me smack dab in the middle of a very interesting design site with a plethora of catchy titles. My first reaction is to just continue reading, I see great ideas that directly relate to other projects I have in mind, but I need to stay focused. The solution, make use of social bookmarking sites. Start yourself a nice little account on something like del.icio.us, download the toolbar (making it even easier) and start bookmarking. Chances are all of that information with still be there a few hours from now when you have some down time. If you are unable to track them on an account like del.icio.us then set a notebook or a scratch piece of paper on your desk.

This leads me directly into the next method. Get in the habit of carrying a small notebook. Being that your mind is in a constant state of observation and idea generation this tool will become indispensable. Some of my greatest ideas have come to me in a split second while I am in the midst of a very important With a notebook handy I am able to jot down a few keywords and continue on with the job at hand. Your brilliant ideas will now safely recorded, allowing you to return to them when the time permits.

Email and Instant Messaging – Even phone calls for that matter. For some of us these tools are a necesaary part of daily communication. Our inbox is always open and the refresh button is clicked often. Sometimes a quick response can be the difference between success and a missed opportunity. Do not let it get out of hand. Be selective in what choosing what information requires your immediate attention. Most email tools of today have the capabilitie to create folders or a filing system; take advantage of it. Start organizing your emails in much the same way you might create your to do list. When they come in don’t be afraid to have a quick look but decide their importance immdeately. Respond if necessary or file them away and come back to them by setting aside a bit of time near the end of your day. With IM and phone calls, take advantage of an away message or voice mail, be selective.

End your work day by returning to your task list and having a closer look. Start revising and eliminating anything that you may have missed during the day. Start formulating the next days plan of action while all of your ideas are fresh in your mind. When you awake the following morning you will feel ready to tackle the day because you took the time to create a good plan the night before.

When all of the important tasks have been completed and you feel well prepared for the tomorrow’s work day, allow yourself some time to go back and take a closer look at your discoveries. Now is the time to dig through those interesting articles and bookmarks or to expand on the simple list of keywords you took the time to jot down at noon. Return to your inbox and start sorting through the emails that you neatly categorized by order of importance and interest.

Lastly allow yourself some time for truly uninterrupted and unorganized viral thinking. Take about 20 minutes to relax and journey into the playground of the mind. Close your eyes if need be and wander. Keep that notebook hand though because the ideas could be pouring out onto the page in a few minutes. Those 20 minutes of idle time could produce some real gems and you will finish out your day feeling truly accomplished. You will have just completed a truly productive and successful day by allowing yourself to become an organized viral thinker.

I got excited the other day after speaking with my brother and hearing the news that he plans to rekindle the fire of his entrepreneurial vision. After a brief hiatus to focus on life, marriage and his career he has decided that now is the time to begin focusing on past projects and future ideas. “You got me motivated to get back at it.” he said over and over and that was just what I needed to hear. So I thought to myself how can we get the ball moving and keep it rolling this time. In the past we had relied on email, phone calls and even skype to ping ideas back and forth but with our hectic schedules and the enormous time difference between us it became hard to stay on top of it all. So how can we do this without the need for constant contact? And there it was collecting dust on my Firefox toolbar this whole time – Backpack.

After inviting him as the one additional user that my free account allows I set out to explore how we could utilize this tool to keep the ideas flowing and the motivation at an all time high. With Backpack we are able to leave each other quick notes, go more in depth by attaching a full page document or “Writerboard”, create lists, and email each other reminders all on our own time regardless of the time zone or our current schedule. The possibilities for working together are now endless.

Lets say I wake up early one morning and jump out of bed with some hair brained idea that just might work, I switch on the computer log in to my Backpack account and begin a new writerboard enthusiastically spilling my idea all over the page. He awakes around five hours later Hawaii time that is (yes I’m jealous you have no idea what I’m staring out the window at) anyway he dusts off his computer and logs in to check out what I have added over the night. He can let me know what a brilliant idea it is that I have just come up with and add his two sense and from there the brainstorm session is started. Of course there are a ton of additional features that I have yet to explore but that is the short and simple version of why I see Backpack being useful to me.

Being able to share and discuss your ideas with others is essential to generating a good business concept and I highly recommend it, just be sure that you choose the right people. Maybe you to will soon have a need for a Backpack account.

Now I just have to figure out how to get him to start using this thing on the regular, no easy task, I will let you know how it goes.
